Set audit field values for imported records (Created By, Created Date, Last Modified By ID, Last Modified Date)

Here's how you can specify the values in audit fields like "CreatedDate" or "LastModifiedDate" when you're importing records from an old org or another CRM system:
Note: To set values for audit fields on record creation, you must have the correct User permissions. See our "Enable Create Audit Fields" help article for more details. Since these fields are intended to be audit fields, it is only possible to set them on "create," not "update."

Getting started with these steps

  • Transferring data from an older org? Start with the "Data Loader" steps.
  • Transferring data from another CRM system? Perform an "Export All" so you'll have files with the columns already established in your Salesforce org. You'll then need to cross-reference your files from the previous CRM with the Salesforce format.

Perform an Export using the Data Loader

1. Open Data Loader from your Desktop.
2. Click Export All.
3. Log in with your older org's credentials.
4. Select the Object (select Show all Salesforce objects to see custom objects).
5. Click Browse, then select a folder location to save your export.
6. Click Select all fields.
7. Click Finish.
8. Click Yes on the pop-up message.
9. After the export completes, open exported CSV file and edit your audit fields.

  • Date and Date Time values. Audit field values in a "Date" or "Date Time" field must be entered in the correct format to upload with Data Loader. See our "Date and Date Time values" help article for instructions.
  • Custom Fields. You'll most likely need to create Custom Fields on your Standard and Custom Objects to transfer all field information from your previous CRM or Instance. See our "Create Custom Fields" help article for instructions.
  • Remove Record IDs. Before you start an import to your new org, remove the Record Ids from the previous org from your export file. 

Now that you have your groomed your exported CSV file for Salesforce, you'll need to Import it into your new Org.


Perform an Import using the Data Loader

 1. Open Data Loader from your Desktop.
 2. Click Insert.
 3. Log in with your new org's credentials.
 4. Select the Object (select Show all Salesforce objects to see custom objects).
 5. Click Browse, then select Object's groomed file from the folder location where it was saved.
 6. On the 
"Initialization Succeeded" pop-up window, click OK.
 7. Select either Existing Mapping or Create or Edit a Map (or select "Auto-Match Fields to Columns" and edit if needed).
 8. Click Next.
 9. Click Finish.
10. Click Yes on the pop-up message.

Repeat this process until you have imported all the Objects that you plan on transferring to your new Org.
