Getting started with Work.com on Salesforce

This guide is designed to help Work.com System Administrators set up their Work.com Professional Edition org. DO NOT SKIM this document. It should take a few hours to complete set-up. It is recommended that these steps are completed after making the appropriate decisions outlined in our Business Decision Checklist .

1. Enable Work.com

Enable a Work.com Administrator

Before enabling Work.com in the Org, you must allocate a Work.com User Feature License to the System Administrator who will be doing the setup.
  1. From Setup, click Manage Users | Users
  2. Find the System Administrator who needs a Work.com license assigned
  3. Click Edit next to their name
  4. In the right hand column, click the Work.com User checkbox and Save


Enable Work.com Org Level Preferences

Administrators can adjust Work.com settings by completing the following:
  1. From Setup, click Customize | Work.com | Settings
  2. From here, enable the settings you wish to turn on for your org.
User-added imageNote When you enable the Recognition feature, Thanks in Chatter is turned on for all users in the org regardless of their license type. You can change the Chatter publisher layout to remove the Thanks item. (Steps to configure the Thanks in Chatter publisher layout are below.)

Restrict the ability to create custom badges. Only users that have “Create” on the Reward object will be able to create custom badges

Goal Settings

Rename Goals to Objectives and Metrics to Key Results

Calibration

Enable the Calibration tool
Note: For Performance Edition organizations, Calibration is not available for the following
profiles: Contract Manager, Marketing User, Read Only, and Solution Manager.


2. Permissions to Work.com Features

Before using Work.com in your PE org, you must consider what type of access your users should have. The Work.com Only User, Chatter Only User, and Standard User profiles grant basic access to Work.com objects. The System Administrator profile grants users full administrative access to all Work.com features.
 

Work.com Only User/Chatter Only User/ Standard User - These profiles grant a user all the basic Work.com functionality.

System Administrator profile

System admins have additional permissions to Work.com objects that allow them to perform the following actions: 
  1. Create company wide badges
  2. Create Reward Funds and Reward Badges
  3. Create and deploy Performance Summary Cycle

Keep in mind you are not able to edit permissions to any profile in PE so if a user needs to complete any of the actions listed above, you will need to assign them a System Administrator profile.
 

3. Assign Licenses

Work.com has two types of licenses: the Work.com Only User license and the Work.com User Feature license.

  • Work.com Only User Licenses should be assigned to users who will only be using Work.com features in your org.

  • Work.com User Feature licenses are assigned in addition to the user’s current Salesforce license.
     

Assign a Work.com Only User License:
  1. From Setup, click Manage Users | User
  2. Click the name of the user you wish to assign a Work.com Only User license to
  3. Click Edit
  4. From the User License dropdown, select Work.com Only
  5. Click Save

Assign a Work.com User Feature License:
  1. From Setup, click Manage Users | User
  2. Click the name of the user you wish to assign a Work.com Only User license to
  3. Click Edit
  4. Select the Work.com User checkbox
  5. Click Save
 

4. Work.com Features

The following sections explain how to configure individual Work.com features. Depending on the version of Work.com you’ve purchased, different features will be available to you.

a. Configuring Recognition

Work.com Recognition features are comprised of Thanks in Chatter with unlimited custom badges and Work.com Rewards.

Restrict Access to Thanks in Chatter
Thanks in Chatter allows users to thank others through the Chatter publisher. This feature is free for all users with access to Chatter including users without a Work.com license. Administrators can restrict who sees the Thanks action in their Chatter publisher by creating a modified Chatter publisher layout and assigning it to certain user profiles.

Enable Publisher Actions
To modify the Chatter publisher, Publisher Actions must be enabled.
  1. From Setup, click Customize | Chatter | Settings
  2. Click Edit
  3. Select the Enable Publisher Actions checkbox
  4. Click Save

Modify the Publisher Layout
  1. From Setup, click Customize | Chatter | Publisher Layouts
To change the location of where Thanks appears in the Global Publisher
a. Select the Thanks item from the Publisher Actions section and drag it to where you’d like it to appear in the Chatter publisher.
 
To remove Thanks from the Global Publisher
a.Select the Thanks item from the Publisher Actions section and drag into the page layout pallet
  1. Click Save

b. Configuring Goals

Work.com Goals allow you to define, track and measure your work. Verify Chatter is Enabled in your Org

The Chatter Feed must be enabled on Work.com Goals to ensure users are notified when they’re invited to a Goal or when others align a Goal with their Goal.
  1. From Setup, click Customize | Chatter | Settings |
  2. Verify that Chatter Settings is enabled
Enable Feed Tracking in Goals
Determine which Goal updates should trigger notifications to Goal collaborators by specifying the fields to be tracked.
  1. From Setup, click Customize | Chatter | Feed Tracking
  2. Click on the Goal object
  3. Click the Enable Feed Tracking checkbox
  4. Click the appropriate checkboxes for the fields you would like to track
Recommended fields to track:
  • Due Date
  • Goal Name
  • Owner Name
  • Description
  1. Click Save

Enable History Tracking for Goals
Track the changes made to Work.com Goals for auditing purposes. There are two objects you may want to track:
  • Goal
  • Goal Collaborator

Enable History Tracking for Goal Fields

  1. From Setup, click Customize | Work.com | Goals | Fields
  2. Click Set History Tracking
  3. Select up to 20 the fields to track

Recommended fields to track on the Goal Object:

  • Actual Value
  • Completion Date
  • Target Value
  • Due Date
  • Goal Name
  • Owner Name
  • Description
  1. Click Save

Enable History tracking for Goal Collaborator Fields

  1. From Setup, click Customize | Work.com | Goal Collaborator | Fields
  2. Click Set History Tracking
  3. Select up to 20 the fields to track

Recommended fields to track on the Goal Collaborator Object:

  • Goal
  • Goal Collaborator
  • State
  1. Click Save
 

c. Configuring Coaching

Enabling Feed Tracking for Coaching

Determine which Coaching updates should trigger notifications to coaching relationship participants by specifying the fields to be tracked.

  1. From Setup, click Customize | Chatter | Feed Tracking.
  2. Click on the Coaching object
  3. Click the Enable Feed Tracking checkbox

  1. Click all of the checkboxes for the Coaching object to track
  2. Click Save
 

d. Configure Performance

Creating and Deploying a Performance Summary

A user with the Performance Cycle Manager permission set/profile will get access to the Deployment subtab on the Performance tab.

This user can create and deploy a performance summary cycle. Please refer to the Perform Feature Guide for more details.

e. Configure Calibration

Define the Calibration Report

Before using the Calibration feature, you must create a report that will load the Performance Summary data. Once you build a report that includes specific details, it will automatically appear in the Calibration drop-down.

  • The report must be a “Work.com Calibration” report type.

f. Configuring Reports and Dashboards

Salesforce Reports and Dashboards are available for all Work.com users. System Administrators can install one of the three unmanaged reporting packages that can be customized to meet reporting needs.

The Work.com reporting packages contain the following:

  • Custom Report Types for Work.com objects
  • Custom Fields for Work.com objects
  • Example Dashboards

Please install one of the packages below based on the Work.com edition you purchased. For example, if your org has Work.com Align, install only the Align package. Refer to your product contract to confirm which Work.com edition you have. Please note - It is not possible or necessary to install all three packages.
