Major Feature Changes

To participate in the Enhanced Feedback and Enhanced Performance Summaries pilot, contact your Salesforce representative. The main changes include:
  • Feedback and performance summaries look, feel, and act more like other Salesforce objects. The UI looks similar to other Salesforce features, and you can make additional customizations (such as creating custom fields and layouts) to suit your organization.
 
  • End users manage all feedback and performance summary features from the Feedback tab. Before, users would manage one-time feedback from the Feedback tab and manage performance summaries from the Performance tab. Now, all feedback offers, feedback requests, and performance summaries are all accessible in one place.
 
  • Administrators create, deploy, and manage performance cycles from the Performance tab. They can also use new features on the tab, such as upload performance summary subjects in bulk and monitor cycle processes in the Job Tracker.

Feedback Overview (End User Features)

With the new Enhanced Feedback pilot feature, you can now manage feedback offers, feedback requests, and feedback related to performance summaries all in one place! Administrators can customize feedback to your organization, such as creating custom fields and layouts related to feedback requests.

The Feedback tab displays the recent feedback a user has viewed, and they can filter to see different types of feedback records. You can also create custom list views with different filter options.

Feedback Home Tab

Use the drop-down menu to filter your feedback and performance summaries:
  • All Feedback - All feedback 
  • Declined Requests - All the feedback you've declined
  • Feedback About Me - All the completed feedback about you
  • Feedback About My Team - All the completed feedback about your team
  • Feedback About Others - The feedback you've completed about others
  • Feedback About Topics - Completed feedback about topics
  • New Feedback Replies - New feedback replies
  • New Feedback Requests - New feedback requests for one-time feedback and performance summaries

Offer Feedback
Offer feedback to someone at any time to help them improve.

1. Click the Feedback tab.
If the Feedback tab isn't available, click + to the right of your current tabs and select it from the All Tabs page.
2. Click Offer Feedback.
3. Enter details for your feedback.
Offer Feedback FieldDescription
Feedback AboutEnter the name of the person you would like to give feedback to.
Share WithSelect to share your feedback with the person directly, with the person's manager only, or with both.
FeedbackProvide feedback content.

4. Click Send.

Request Feedback
You can request feedback about yourself, someone else in your company, team members, or any topic of interest.

1. Click the Feedback tab.
If the Feedback tab isn't available, click + to the right of your current tabs and select it from the All Tabs page.
2. Click Request Feedback.
3. Enter details for your feedback request.
Request Feedback FieldDescription
Feedback FromEnter the user you'd like feedback from.
Feedback AboutSelect the type of feedback from the drop-down menu.
  • Myself: Request feedback about yourself.
  • A Person: Enter the name of the person you want feedback about.
  • A Topic: Select Include a 5-point rating scale if you want people to rate the feedback on a 5-point scale.
DescriptionDescribe what kind of feedback you're looking for.

4. Click Send.

Feedback Visibility
Visibility options are based on the type of feedback you choose.

Feedback Requested
Only people to whom you sent the feedback request and an administrator with “Modify All Data” or “View All Data” access can view your request.

Feedback Offered
You can only view feedback that is shared with you. For example, you won’t be able to view feedback about yourself that was shared only with your manager.

Complete a Performance Summary
Find the performance summaries you need to complete from the New Feedback Requests list view.

1. Click the Feedback tab.
If the Feedback tab isn't available, click + to the right of your current tabs and select it from the All Tabs page.
2. Select the New Feedback Requests list view and click Go!

3. Answer the questions in the performance summary.
4. When you're finished writing the performance summary, click Submit.

You can view all submitted summaries in the Feedback About Others list view.

Perform Overview (Administrator Features)
 
In a typical performance summary cycle, you perform the following activities:

1. Create a performance summary cycle.
2. Add participants to the performance cycle.
3. Deploy the performance cycle.
4. Manage a performance cycle (reassign and reopen performance summaries, as necessary).
5. Share the submitted performance summaries with summary subjects.
6. Finish the performance summary cycle.

Getting Started
 
Assign a Perform administrator
The first step is to determine who in your organization will be responsible for deploying performance summaries. This role could be assigned to an existing Salesforce administrator or might be assigned to someone else.  Note that any user granted these permissions will have read/write access to all performance summary data and caution should be exercised when delegating these permissions. Refer to the Recommended Work.com Permission Sets or Recommended Work.com Profiles documentation for details on which permissions a perform administrator needs.
 
In order to add people to a cycle, deploy a cycle, and reassign a performance summary in a cycle, the user must have view all and modify all access to the feedback objects.
 
Note:  
This set of permissions gives the Perform administrator “modify all” access to the feedback object. This means that users with this permission have access to view and change any answer to any performance summary question, including their own. 
Changes to a performance summary cycle can be done through the work.com UI in salesforce.com, or through the SOAP API. Refer to the SOAP API Developer's Guide for more information about managing performance summary cycles with the SOAP API.

Create a Performance Summary Cycle

Create a Work.com performance summary cycle by cloning an existing cycle or designing a new cycle from scratch.

1. Click the Performance tab.
2. Click New.

Note: You can also create performance cycles by selecting an existing cycle and clicking Clone on the cycle's detail page. Cloning a cycle copies all the questions and question sets, but doesn't copy due dates, activity start dates, activity end dates, and people.

3. Enter a cycle name, an activity start date, and an activity end date.

4. Click Save.

Add Feedback Question Sets
Question
sets group questions according to their intended audience.

For example, a performance summary about Phil Johnson could have up to four different audiences:
  • Manager Summary: Questions for Phil's manager. Every cycle must include a manager summary.
  • Self Summary: Questions for Bill.
  • Peer Summary: Questions for Bill's peers.
  • Skip Level Summary: Questions for Bill's direct reports.

1. From a performance cycle detail page, click New Feedback Question Set.
2. Enter a question set name and due date.
3. Select a Feedback Type (Manager, Self, Peer, or Skip Level).
4. Click Save.

Add Feedback Questions
You should create questions appropriate to the intended audience.

1. From a performance cycle detail page, click a feedback question set.
2. Click New Feedback Question.
3. Se
lect the Question Type.
  • Multiple Choice: Users respond with a multiple choice answer. Enter the answers in the Choices field with each answer on a new line.
  • Free Form: Users answer with a text response.
  • Rating: Users respond with a 1-5 rating.

4. Enter additional details.
You can specify rules for each question:
  • Optional: The person writing the summary isn't required to answer this question.
  • Confidential: The subject of the summary won't see the submitted answer. This rule isn't available for self summaries.
5. Click Save.

Add Users to a Performance Summary Cycle
You can add subjects to a cycle individually or upload many subjects with a CSV file. You can only add users to performance cycles in Draft or Started status.

Add Individual Users to a Performance Summary Cycle
1. From the Performance tab, select a performance summary cycle.
2. Under the Feedback Requests list view, click Add Subject to Cycle.
3. Enter the name of the user you'd like to add.
4. Click Save.

Add Users to a Cycle with a CSV File
1. From the Performance tab, select a performance summary cycle.
2. Under the Feedback Requests list view, click Upload Subject CSV.
3. Click Choose File and select a CSV file.
Note: The first row is seen as the header row and is not uploaded.

4. Click Save.

You can see the status of the CSV upload from the cycle detail view on the Job Tracker related list.

Deploy a Performance Summary Cycle
Deploy a cycle to make the summaries available for people to complete.

Note: You can't edit questions or cycle details after a performance summary cycle is deployed, but you can add more people.

1. From the Performance tab, select a performance cycle.
Cycles must be in the Setup state to be deployed.

2. Click Deploy.
You can see the status of the deployment on the Job Tracker related list.
You should also receive an email about the performance cycle deployment and any errors that occurred, if applicable.

Share Performance Cycle Details
Select the Share All option to share submitted performance summaries with the summary subjects. This doesn't include questions marked Confidential.

1. From the Performance tab, select a performance cycle.
2. Click Share All.

Clicking Share All at a later time shares only the newly submitted summaries. Summaries that were already shared are not shared again.
You can see the status on the Job Tracker related list.

Finish a Performance Cycle
When you're done with a performance cycle, finish it to change the summary cycle status to Finished and remove summary requests from the Declined Requests and New Feedback Requests views.

1. From the Performance tab, select a performance cycle.
2. Click Finish.
