Dynamic Dashboard Limits: How to Find, Manage, and Request an Increase

This article explains what dynamic dashboards are, how many your organization can have based on your Salesforce edition, how to find the current count of dynamic dashboards in use, and what options are available when you reach the limit.

You have reached the limit if you see the error: "Limit for dashboards run as logged-in user reached" or if you cannot create a new dynamic dashboard despite having edit access.

Cause
Edition Limit Reached

Dynamic dashboards run as the logged-in user, allowing each viewer to see data filtered to their own access. Salesforce enforces a per-org limit based on your edition:

  • Professional Edition: up to 3 dynamic dashboards
  • Group Edition: up to 5 dynamic dashboards
  • Enterprise, Unlimited, Performance, Developer Editions: up to 10 dynamic dashboards
  • Each Financial Services Cloud org includes 10 additional dynamic dashboard licenses
  • Each Enablement license add-on includes 1 additional dynamic dashboard license
Note: This limit applies to the total number of dashboards configured to run as the logged-in user, not to the number of users viewing them.
Dynamic Dashboard Count Not Visible in UI

There is no dedicated counter in Setup showing current dynamic dashboard usage. Admins must query or search to find existing dynamic dashboards before requesting an increase or freeing capacity.

Step 1: Find Your Current Dynamic Dashboard Count
  1. From the App Launcher, open Dashboards.
  2. Use the search bar to find dashboards, or navigate to All Folders.
  3. Open each dashboard and check Dashboard Properties. Dynamic dashboards show "Run as logged-in user" in the View Dashboard As field.
  4. Alternatively, use Workbench or a SOQL query: SELECT Id, Title, RunningUser.Name FROM Dashboard WHERE RunningUser.Username = null to find dashboards without a fixed running user (these are dynamic). 
Step 2: Free Capacity by Converting or Removing Dynamic Dashboards
  1. Identify dynamic dashboards that are no longer actively used (check Last Run Date).
  2. For dashboards that don't require per-user data security, edit the dashboard and change View Dashboard As to a specific user instead of "Run as logged-in user." This removes it from the dynamic dashboard count.
  3. Delete unused dynamic dashboards from Dashboard Properties → Delete.
Warning: Deleting a dashboard is permanent. Verify with dashboard owners before deleting.
Step 3: Request a Limit Increase

Dynamic dashboard limits are tied to your Salesforce edition and are not self-service adjustable. If you need more than your edition limit allows:

  1. Contact your Account Executive to discuss adding Enablement licenses (each adds 1 dynamic dashboard) or upgrading your edition.
  2. Alternatively, log a case with Salesforce Support referencing your org ID and the current dynamic dashboard count — Support can confirm your eligibility and connect you to your AE.
Note: There is no self-service increase option in Setup. Requests must go through your Account Executive or licensing team.

Q: Can I subscribe to a dynamic dashboard?
No. Subscriptions are not supported for dynamic dashboards. Users must subscribe to static dashboards instead.
Q: Why can I edit dashboards but not create a new dynamic dashboard?
You have reached your org's dynamic dashboard limit. Follow the steps above to find and remove unused dynamic dashboards, or contact your Account Executive for a limit increase.
Q: Does deleting a dynamic dashboard immediately free the slot?
Yes. Once a dynamic dashboard is deleted or converted to a static (run-as-specific-user) dashboard, the slot is immediately available for a new dynamic dashboard.
Q: How many dynamic dashboards does a Financial Services Cloud org get?
FSC orgs receive 10 additional dynamic dashboard licenses on top of the standard edition limit.
