Unable to See "Send through External Email Services" Option in Salesforce Lightning Setup

In Salesforce Lightning Experience, the "Send through External Email Services" option allows users to send emails directly from Salesforce using their connected Gmail or Office 365 account. This feature provides a more seamless experience by routing outbound emails through the user's personal email provider rather than Salesforce's mail servers.

System administrators may not see this option in Setup if the org's email deliverability Access Level is not set to "All Email." This article explains how to make the option visible and enable the feature.

To make the "Send through External Email Services" option visible in Setup, the System Administrator must set the email deliverability Access Level to "All Email." This setting applies to both Salesforce Classic and Lightning Experience.

Steps to Enable External Email Services

  • In Salesforce Classic: Setup > Email Administration > Deliverability > Access Level > All Email
  • In Lightning Experience: Setup > Email > Deliverability > Access Level > All Email

Notes and Limitations

  1. This feature is only available in Lightning Experience, however the setting to enable it can be changed in both Classic and Lightning.
  2. Send through Gmail or Office 365 is not available for users with Einstein Activity Capture or Salesforce Inbox enabled. Those users' emails are already routed through their connected Gmail or Outlook account automatically.
  3. For users to access this feature, they need a permission set that includes "Send Email through External Email Service," or this permission must be enabled on their User Profile.
  4. Send through Gmail or Office 365 is not available for users with a Force.com license.
