Configure Email Forwarding from Outlook to Salesforce for Email-to-Case

Publish Date: Nov 9, 2024
Description

Setup basic Email Forwarding Rule on your Outlook client for the Email-to-Case functionality. However, if more customization is involved, we suggest reaching out to your IT Administrator or Microsoft Support for better assistance.

Resolution

To forward messages in Outlook, depending on what version of Outlook you have, the instructions will vary.  The instructions below are for Classic Outlook:

  1. On your Outlook client, click Home | Move | Rules | Manage Rules & Alerts.
  2. Select New Rule | Apply rule on messages I receive, then click Next.
  3. In the Select Conditions window, select where my name is in the To Box.
  4. Under Select Actions, click on redirect it to people or public group condition, then click the link afterward (this opens a new Outlook window).
  5. From the window, insert the Email-to-Case Service Address on the 'To' field, then click OK, and click Next.
  6. Click on Next (skipping the Exemption Conditions).
  7. Specify a name for this rule, then click Finish. You have finished setting up your forwarding, now test it by sending an email to your Outlook and a Case should be created.

To see alternate methods of creating a new forwarding rule, please review this guide from Microsoft on Use rules to automatically forward messages.
