Increase the Maximum File Shares Limit in Salesforce Files

This article explains how to request an increase to the maximum number of shares allowed per file in Salesforce Files. When you share a file in Salesforce, each share to a user, group, or record counts toward a limit. The default limit is 2,000 shares per file. For example, if a widely-used training document is shared with multiple teams and records, it may reach this limit.

File sharing allows users and records to access content stored in Salesforce Files. Some organizations with broad collaboration needs may require a higher share limit to properly distribute files across users, groups, and records. For existing organizations, this limit should already default to the maximum of 2,000.

Professional, Enterprise, Unlimited, and Developer

Limit Details

Default Limit:  2,000 shares per file

This limit can be increased after a successful internal review and approval from the Product team.

How to Increase:

If your organization does not currently have the proper default limit of 2,000, submit a limit increase request with Salesforce Support. For increases beyond 2,000, see the Prerequisites section below.

Prerequisites:

For increases to the standard default of 2,000, no additional review is required.

2,000 is the documented maximum for this limit. If your organization has reached the 2,000 share limit and absolutely requires an increase beyond it, an emergency request can be logged for review by the Salesforce Product Team. These requests have no guaranteed approval as they are individually reviewed and qualified.

Before logging an emergency request, please consider the following workarounds:

  1. Consider adding an org-level share instead of many individual user or record shares to help alleviate the need for a limit increase.

  2. Share the file with a Chatter group that all relevant users belong to, rather than sharing with each user individually — a share to a group counts as a single share regardless of how many members the group has. Files can be shared directly with a Chatter group, but not with a Setup public group. To give a public group or role access, add that group as a member of a library (Content workspace) and store the file in that library; members then reach the file through the library rather than through individual shares.

  3. If the affected file is attached to an email template, upload the file again as a new file and attach the new file to the template. The sharing limit is enforced per file, so a newly uploaded file starts with its own share count.

If you've reviewed all relevant documentation and workarounds and still need assistance with increasing this limit, please have a System Administrator create a limit increase request with Support.

Important Notes:

  • If your organization's current limit is below 2,000, Salesforce Support can restore it to the standard default of 2,000 without additional review.
  • Requests to increase beyond 2,000 are treated as emergency requests, reviewed individually by the Salesforce Product Team, and are not guaranteed to be approved.
  • Exhaust the available workarounds before submitting an emergency request above the 2,000 limit.
