Track Outbound Emails Sent by Each User in Salesforce

In Salesforce, outbound emails sent from a Case or record are logged as Task activities. By default, no picklist value specifically identifies outbound emails. This article describes how to create a custom 'Outbound Email' Task Type picklist value and use it as the default for email sending, enabling you to build an Activities report filtered to show only outbound emails per user.

Here's how to create a report that will show all the outbound emails sent by Users in your Salesforce organization.

Step 1: Add the Outbound Email Picklist Value to the Task Type Field

In Salesforce Classic:

  • Setup > Customize > Activities > Task Fields > Type

In Salesforce Lightning:

  • Gear Icon > Setup > Object Manager > Task > Fields & Relationships > Type.
  • Under Task Type Picklist Values, click New and enter: Outbound Email.
  • Click Save.

Step 2: Set Outbound Email as the Default for Sending Email

  • Edit the Outbound Email picklist value.
  • Select the checkbox: 'Send Email Default: Make this value the default for sending an email.'
  • Click Save.

3: Create the Outbound Email Activity Report

  • Navigate to Reports and click New Report.
  • Select the Activities category, then the Tasks and Events Report Type, and click Continue.
  • Add the following filter: Activity Type equals Outbound Email.
  • Run and save the report to track outbound emails per user.
