Find your files attached to KB Articles from a full Data Export

This article describes how to find files attached to the 'File' field type fields in Knowledge Articles after a Salesforce full Data Export.

Along with other Content Files and Attachment Files, files attached to Field 'File' type in Knowledge Articles are also exported during Data Export. These files are exported in a Folder Named 'Other Uploaded Collateral' in Data Export.

The information of these files is in 2 different .csv files which are exported when Full Data Export is run. These .csv files are named 'FileFieldData.csv' and 'ContentReference.csv'. Below are the steps which can help find the respective files in Data Export attached to 'File' Field Type on Knowledge Articles.

1. Open FileFieldData.csv and ContentReference.csv files.

2. Run a vlookup between the common fields 'ContentReferenceID' in 'FileFieldData.csv' & 'ID' in 'ContentReference.csv' file to populate 'ContentContentId' field values in front of all records in 'FileFieldData.csv' from 'ContentReference.csv' file.

Note: 'ContentContentId' is the actual ID of the exported file which you can find in the 'Other Uploaded Collateral' folder in your Data Export.

3. Open the 'Other Uploaded Collateral' folder from your Data Export and search for your files with 'ContentContentId' and you should be able to find the file with 'ContentContentId' as the file name.

You can also run a vlookup between 'FileFieldData.csv' and 'Knowledge_ka.csv' files if you want to bring over the article information with which your files are attached.

4. Use the same logic as mentioned in the article: Rename exported attachments or documents files in a data export to rename the articles in 'Other Uploaded Collateral' folder if you want.
