Add calendar invites to Account Engagement Emails

From time to time, you might want to include calendar invites in emails sent with Account Engagement. Although you can't attach files to emails, you can link to your calendar invites and invite files. Depending on which calendar you're using, you'll either need an .ics file or a publishing link.

iCal and Outlook

If you've created an event with Apple Calendar or Microsoft Outlook, you'll need to save the event's .ics file and upload it to Account Engagement. 

To save an .ics file from Microsoft Outlook:

1. Find your event on the calendar.
2. Depending on which version of Microsoft Outlook you're using, you can either click and drag the event to your desktop or click File > Save As > select iCalendar Format from the drop down.
3. Upload the .ics file to Account Engagement. See this article for help uploading content.
4. Copy the Account Engagement file link and add to your email draft or template.

When a prospect clicks the event's link in your email, it will download the .ics file automatically.

1. Find your event on the calendar.
2. Click and drag the event to your desktop.
3. Upload the .ics file to Account Engagement. See this article for help uploading content.
4. Copy the Account Engagement file link and add to your email draft or template.

Google Calendar


To link a Google Calendar event, you'll need to build the link using this template.

For example, I want an event with this content:
Title: Awesome Web Event
Date/Time: March 10, 2016 from 12:00 to 1:00 PM EST
Location: www.mysite.com/webevent
Details: Join us for the best web event ever!

The link for our example event should look like this (copy the link to open in Google Calendar):
https://calendar.google.com/calendar/render?action=TEMPLATE&text=Awesome+Web+Event&dates=20160310T170000Z/20160310T180000Z&details=Join+us+for+the+best+web+event+ever%21+&location=www.mysite.com/webevent&trp=true

When a prospect clicks the event's link in your email, it will prompt them to save the event on their Google Calendar.

Notes: 

- We highly recommend testing your event link before you post it or send it to prospects. 
- The time is in 24 hour UTC format -- use an online converter like timeanddate.com if you need help with this. 
- Text will need to be URL-encoded. The easiest way to do this is use an online encoding tool like Free Formatter.
