Library Folders in Lightning Experience and Classic UI

Starting in Summer '17, Folders in libraries are now generally available. 

Folders are designed to be used in the Lightning Experience Files Tab. That being said, there are several limitations with regards to using Folders and Salesforce Classic.

Note: It's only possible to create and maintain Folders from within the Lightning Experience Files Tab.  Folders are visible in the Salesforce Classic Files Tab however, it's not possible to manage the folders or move Files into them from within Classic.

You can begin using Folders from within Lightning Experience by navigating to the Files Tab and selecting your desired Library from the menu options on the left hand side.

From within the desired Library click the "New Folder" button. You will see a window where you can enter Folder Name. Please enter the desired name and click Save. You will then see a prompt with message Folder XXXX was created.

If the "New Folder" button is not available ensure that the user is both a member of the library and assigned a Library Permission definition with either the "Manage Library" and/or "Organize File and Content Folder" permissions. For more details see Create Libraries and Create and Edit Library Permissions.

Opening a Library or its Folder from the Files Tab in Lightning Experience and clicking the "Upload File" button results in the file being added to the current library or folder. To move a File that's been uploaded via the Files Tab in Lightning, users will first have to publish the File or Content into the Library Folder which contains the desired sub Folder.

Before the Summer '18 release it was not possible to manage Libraries or share files with Libraries in Lightning Experience and users had to publish files into the desired library folder. See Files and Content: What’s Different or Not Available in Lightning Experience and Share Files with Libraries in Salesforce Classic for more details. However, with the planned introduction of Manage Libraries in New Ways it will be possible to create and manage libraries from within Lightning Experience.

In order to see the "Move" option in the action picker for a File, users must navigate to and view the File from within it's corresponding Library within the Files Tab.


For example, if a File has been published to Library A, the Move option in the action picker to the right will not be visible when viewing the File from the "Owned by Me", "Shared with Me", "Recent", or "Following" views in the File tab. However, if users navigate to the Libraries view and select Library A where the Content or File has been published, the Move option will be visible.


It's not possible to add Folders to the standard Asset Library. For more details on the Asset Library see Find and Create Asset Files from Community Builder​.

The Asset folder will always remain at the top of the list when sorting Folders in the Libraries view by clicking the "NAME" or "LAST ACTIVITY" column headers.

It's not possible to sort contents in every library or folder by clicking either the "TITLE" or "LAST MODIFIED DATE" column headers. Although users can click them, it may be expected by current design for the list to remain unchanged as a result.

Note: Users may report that they have the ability to successfully sort contents of some folders or libraries but not others. Sorting is not available in newly created or existing libraries that have been subsequently enabled to use folders as outlined in the Create Folders in Libraries in Lightning Experience documentation.

There isn't currently a way for customers or Support to disable folders for libraries to re-enable sorting capabilities. To see the ability to sort all libraries, regardless of whether they're enabled to use folders, added to Salesforce with a future release please consider creating or promoting an Idea for this on our
IdeaExchange.

 

Please note the following limitations for Folders in Salesforce Classic:


- It's not possible to create, edit, or delete Folders in Classic and this must be done within the Lightning Experience Files Tab.

- Subfolders or folders created within Libraries are not visible when viewing the Library that contains them via the Libraries or Content Tabs in Classic.

- It's only possible to upload Files into a Library's folder by contributing content to the corresponding library in Classic.
