Keep Notes shared to records private

Lightning Experience allows you to protect sensitive data with Private Notes.

Resolution


When you create a note from a record, the sharing defaults to 'Visibility Set by Record.' You can keep Notes on records private by following these steps to check the 'Prevent note from being viewed by other users with access to this record' box.

To ensure related Note is set as Private

  1. Create the new Note via the Notes Tab in Lightning.
  2. Click Add to Records.
  3. Search for the object record you want the Note to be related to.
  4. Just below the search box, you will see the new feature (checkbox) where it says: "Prevent note from being viewed by other users with access to this record."
  5. Select the box if you need to keep the Note to be private. 


Note: The new option will relate the Note to records but will prevent others from seeing it, keeping it private. Users with View All Data permissions can also access the Note.

Common Behaviors of a Private Note

  • If Note is created within a record, this will default to "Visibility Set by Record."
    • Note: If you do not want this warning or if you wish to unlock the note, then you need to modify the accessibility of the record, as it will accessible to the users who have read access to the related record. 
  • If Private Note is shared to a User, privacy changes to "Privately Shared."
  • If Note is not shared to anyone but shared to a record and above new setting is set, this keeps the privacy details to  "Private."
