This process allows Marketing Cloud Users to directly Import Salesforce Report (or Objects) into a Salesforce Data Extension. This will allow any sends to that data extension done purely in Marketing Cloud to send tracking data back to the Contact/Lead records in Salesforce based on their SF ID which is set as the Primary key in the SF DE created*.
NOTE: Once the Import definition is created the SF DE will be in the 'Salesforce Data Extension' folder with the exact same name as the Import.
Follow the steps below to complete:
1. Navigate to Email Studio > Email > Interactions > Import. Click the Create button. Note that Imports from Salesforce Objects & Reports cannot be created from Automation Studio > Import Activity.
2. Add a value to the Name field and enter an External Key.
Note: if you do not add a value to the External Key field the value you enter in the Name field will be used as the external key of the data extension that is created. If this is longer than 36 characters, you may see an Import Definition Validation Error with the message "External key cannot be longer than 36 characters." Populate an External Key value manually or use a Name that is shorter than 36 characters to avoid this error message.
3. For File Location select Salesforce Objects & Reports and set the Salesforce Data Source Type to Report. Click Select and enter the name of your report before clicking Find Now. Select the Report to be imported from the results and click OK.
4. Within the Customize DataExtension Generation popup, you must select these fields (and configure correctly for this to work):
a. For the Contact ID/Lead ID/SF ID field, check the Key checkbox.
b. Email > Set Type to Email Address and uncheck Nullable box.
c. Select the fields you would like to be included in the import, remember to check the SF ID and email fields.
Note: if an Email Address type field is not configured, the data extension will not be created as a sendable data extension and will be created in the Data Extensions top level folder instead of the Salesforce Data Extensions folder.
5. Save Config
6. Finalize Import definition and enter 'Send notification email to' if you would like.
7. In the Imports list > Check the box next to the import > Start
8. A Data Extension will be created in the Salesforce Data Extensions folder with the same name as the Import you just created.
9. Utilize the Salesforce Data Extension created as any normal DE for sends or segmentation.
