How to Mass Import Invitees into Salesforce Events Using Data Loader

Description

Add invitees into an Event by creating an import file using the steps below. Once you create your import file, apply the changes to your organization via Data Loader Insert operation.

Step 1)  Prepare your import file

Create a CSV import file with the following columns, then map your invitees to your existing Salesforce records:

  • RelationId — The ID of the person (User, Contact, or Lead) or resource invited to an event. When Shared Activities is enabled, RelationId can also contain the ID of an Account, Opportunity, or other related object.
  • EventId — The ID of the Event record. This value cannot be changed after it is specified.

For all of the above relationships, you must use the unique Salesforce record ID (not the record name) to make a successful association, because a lookup relationship is being created. You can retrieve the record IDs by running a Salesforce report that includes the Record ID column and exporting the results.


 

Step 2)  Insert the records using the Data Loader

 
  1. Log in to the Data Loader.
  2. Click on Insert.
  3. Select Show all Salesforce objects.
  4. Click on Event Relation.
  5. Locate the .csv file created earlier.
  6. Click on Create or Edit a map and map the Salesforce fields to the columns in your file. Review EventRelation for mapping information.
  7. Click on Next.
  8. Click on Finish.
