Restrict User access to Data Loader

Description

Admins may need the ability to restrict Data Loader access and only allow login to certain users.  This is generally to limit the number of users that can mass import, update, or delete records in the organization. 

Resolution

There are two ways of restricting users from accessing Data Loader.

 


1. Disable API permission


One way is to disable API Enabled permission in the profile. API access also controls various other applications such as: Salesforce for Outlook, Salesforce for iOS and Android, which also need the permission. So please consider this, before disabling the permission.

2. Connected Apps

  • Remove the access to connected apps. Navigate to setup and enter Connected Apps in the quick find box. Click on Manage Connected Apps (Lightning Experience) or Connected Apps (Salesforce Classic), you will find apps that connect to your Salesforce organization. For an app that is not allowed for everyone, click edit next to the app name, then change Permitted Users from "All users may self-authorize" to "Admin approved users are pre-authorized".
  • For users allowed to access the app, navigate to the users Profile, look for Assigned Connected Apps section, and select the apps. You can also grant access using Permission Sets.
  • For users not granted access to the app, they will see following errors:
  • Data Loader: Sorry, your administrator has blocked access to this client. For more information, please review Error 'Sorry, your administrator has blocked access to this client' when logging in with Data Loader or "Remote Access Application Authorization".
  • ​The user login history when logging in to an unauthorized app, will show the following status -  Failed: Not approved for access
