Keep the Category Color Intact When Salesforce for Outlook is Installed or Manual Sync Occurs

Color categories in Microsoft Outlook allow users to visually identify and group associated items such as notes, contacts, appointments, and email messages. Multiple color categories can be assigned to items or removed as needed.
When Salesforce for Outlook is installed or a manual sync occurs, Salesforce uses specific color categories to manage synchronization:

  • Sync with Salesforce — green color: applied to records selected for manual synchronization with Salesforce
  • Don't Sync with Salesforce — gray color: applied to records excluded from synchronization
  • Added to Salesforce — blue color: applied to emails associated with a Salesforce record

By default, applying the "Sync with Salesforce" category changes the color of selected records in Outlook views to green. To prevent Salesforce from overriding your preferred Outlook category colors, you can change the assigned color for these Salesforce categories to None using the steps in this article

The following steps explain how to change the color assigned to Salesforce for Outlook sync categories in Microsoft Outlook, so that record colors in your Outlook views are not overwritten when a sync occurs. Set the color to None to preserve your existing Outlook color assignments.

Change the Categories in Microsoft Outlook 2010

  1. In any view, on the Home tab, in the Tags group, click Categorize
  2. Select All Categories...
  3. Highlight the desired category (for example, "Sync with Salesforce")
  4. To choose a color, select the Color dropdown and select the desired color (or None)
  5. Click OK

Change the Categories in Microsoft Outlook 2013, 2016, and Microsoft 365

  1. On the Outlook Navigation Bar from the Home tab, click the Categorize dropdown and select All Categories...
  2. Highlight the desired category (for example, "Sync with Salesforce")
  3. To choose a color, click the Color dropdown and select the desired color (or None)
  4. Click OK
