Create a Salesforce Report on Notes

While you can report on Notes using the "File and Content Report" report type, there are some considerations that do not apply to other types of reports.

These considerations affect the data returned on the report as well as the available fields that can be used in the report.

Important considerations for "Notes" reports:

  • Ensure that you have Enabled "Notes" in your organization (see Enable Notes for instructions)
  • Reports can only display Notes taken via the "Notes" tool. Notes created via the "Notes & Attachments" related list cannot be reported upon. See the Additional Resources section to view the Idea Exchange links.
  • You can only view Notes created by other users if they have been shared with you (this also applies to System Administrators)
  • To make Notes available to other users, the user who created the Note (or a System Administrator) can follow the steps here:
  • It is not currently possible to create a Custom Report Type for Files and Content and as such, it is not possible to report on Notes related to a specific object
  • In Lightning Experience, reports on this type will return 0 results unless, and until the report has been saved.  If the report has not been saved, records will be visible within the report preview, however when the report is run, it will return 0 results.

Steps to Create a Notes Report

  1. Navigate to the Reports tab and click New Report.
  2. For "Report Type," search on and select File and Content Report, then click Start Report to expose the filter options.
  3. Add the following filter: File Type equals SNOTE (ensures that the report only includes Notes) and click Apply

  4. Add the following columns to the report by selecting the Outline tab and clicking on the find icon in Columns:
    • File Name
    • Published Date
    • Created By
    • Last Revised Date
    • Last Revised By
    • File Type
  5. Click Save.
  6. Click Run.


Report Data and Sharing Considerations

  • You can only report on Notes that are owned by you or directly shared with you
  • Report data does not include Note contents (see Related Support Content at the bottom of this article)
  • Notes you have access to but are not owned by you or directly shared with you will not appear on reports

 
Report Field Considerations
Including any of the following columns will cause the report to return no results:

  • ​Downloaded By
  • Download Date
  • Download User Type
  • Link Name
  • Link Created Date
  • Link Expiration Date
  • Password Protected Link
  • Link Last Accessed Date
  • Total Link Accesses


If the "File Version" column is included in the report, a row will appear for each version of the Note, though only data from the most recent version of the Note will be reflected in any of the other columns.
