Prepare .csv file for import into Lightning Knowledge

Lightning Knowledge changes the article design from Article Types (used in Classic Knowledge) to Record Types. When you import articles, you can populate the record type ID for each article in your CSV file and automatically associate the article with that record type.

Unlike Salesforce Classic which requires each article type be uploaded separately, one CSV file can contain articles associated with different record types.

Please refer to the below step to prepare the csv file and import the articles into Lightning Knowledge-enabled Salesforce organization.

To get started, learn how to Create a .csv File for Article Import .
  • Make sure that record types have been configured in your org.
  • In your .csv file for import, add a column header "RecordTypeId" to specify the record type that you want to assign to each Article.
  • Add only one record type for each article.
  • Insert the 15-character ID for the record type into the csv file.
  • Follow the below steps to locate the record type ID:

In Lightning Experience
  1. Navigate to Setup | Object Manager | [Knowledge Object Name] If your organization transitioned from Knowledge to Lightning Knowledge, this may be the name of your last Article Type in Classic Knowledge.
  2. Click Record Types.
  3. Click a specific record type to see the ID in the URL. Grab the 15-character ID from the URL.

In Salesforce Classic
  1. Navigate to Setup | Knowledge Object Setup | Record Types.
  2. Click a specific record type to see the ID in the URL.

Note: You'll find article record type IDs in:

In Salesforce Classic by navigating to Setup and in Quick Find, search "Knowledge Object Setup" to locate the Record Types related list, then click the desired name in the Record Type Label column. The resulting URL in you browser contains that record type's unique Id:

Where 0120H000000tzVJ is the RecordTypeId.

In Lightning Experience by navigating to Setup | Object Manager and in Quick Find search for "Knowledge" or the unique name of the Knowledge object (if you organization has renamed it). Click the Knowledge object's Label and navigate to the Record Types related list click the desired name in the Record Type Label column. The resulting URL in you browser contains that record type's unique Id:

Ex. https://<YourInstanceOrMyDomainHere>.lightning.force.com/lightning/setup/ObjectManager/01Ii0000001aaGB/RecordTypes/0120H000000tzVJQAY/view?0.source=aloha

Where 0120H000000tzVJQAY is the 18-character RecordTypeId. The 15-character ID would be 0120H000000tzVJ.
