Delete email templates in the Salesforce Classic UI

When you try to delete a Classic email template that is used in a resource, you may receive the following error message:

'Templates used by other resources must remain in a folder other than your Personal template folder, and cannot be deleted or deactivated.'

In most cases, the resource name that is using the Classic email template appears below the error message.

Other resources include:
  • Validation rules
  • Assignment rules
  • Escalation rules
  • Web2Case functionality
  • Response rules
  • Workflow alert
  • Process definition
  • Mass mail use
  • Customer Success Portal
  • Partner portal
  • Communities
  • Partner Communities
  • Self-Service Portals
  • Partner networks
  • WebToLeadSettingEdit
  • SupportOrgDetail

Send Email Quick Actions can also reference email templates through the DefaultEmailTemplate field.

For deprecated resources, the solution is to edit the templates themselves to make them not useful. For example, we have deprecated the Self-Service portal, and the email templates can't be deleted or deactivated. Instead, edit the templates used in the portal so that no one wants to use them.

For other resources, check if a Classic email template is used in any of the listed resources and de-attach the template. Then you can delete the template. Or, save the template in a private folder--one that is not accessible to any other user.
