Change the fields displayed by auto-search in Gmail Integration and Outlook Integration

Description

By default, the auto-search in both Gmail Integration and Outlook Integration displays a record's key fields when a match is found. You can select which of these key fields are displayed in the auto-search results by using Compact Layouts. A Compact Layout is a configurable field set for a Salesforce object that controls which fields appear in record previews across Salesforce features including the Gmail and Outlook integration auto-search.
This customization is useful if you want to exclude fields to improve readability, or add fields back to avoid confusion between similarly named records.

To control which fields appear in auto-search results in Gmail Integration and Outlook Integration, edit the Compact Layout for the relevant Salesforce object. Follow the steps below.

Steps to Edit the Compact Layout

From the management settings for the object you want to edit, go to Compact Layouts, and click on the name of the compact layout.
If you have multiple layouts assigned to different record types and are unsure which one to edit, click on the Compact Layout Assignment button, then click on the layout name.

  • To add a field: select it in the Available Fields list, then click Add to move it to the Selected Fields list.
  • To remove a field: select it in the Selected Fields list, then click Remove to move it to the Available Fields list.

Auto-Search Field Display Notes

Not all selected fields are displayed by the auto-search. The auto-search displays a fixed subset of fields per object:

  • Contact: Contact Name, Title, Account Name
  • Account: Account Name, Type, Phone
  • Opportunity: Opportunity Name, Account Name, Close Date

The sort order is not relevant for the auto-search feature, but it does impact Salesforce1 and Lightning Experience display order.

Unsupported Field Types in Compact Layouts

Compact layouts do not support the following field types:

  • Text area
  • Long text area
  • Rich text area
  • Multi-select picklist
