Email Templates Do Not Show Line Breaks When Sent to Outlook Users

A text email template sent through Salesforce and received in Microsoft Outlook removes some line breaks, and all text appears on one line. However, if the email is forwarded from Outlook to another user, the formatting appears correctly.
Users may notice a banner at the top of the email message in Outlook that reads:

"Extra line breaks in this message were removed."

Users can click this banner to restore line breaks, or follow the steps in the Resolution section to configure Outlook to never remove line breaks.

Lösung

Outlook is configured by default to remove extra line breaks from plain text messages. Since Salesforce text email templates use plain text formatting, Outlook strips line breaks before displaying them. The steps below disable this Outlook setting.
Note: These steps are performed in Outlook itself, not in Salesforce. Contact Microsoft Support if further assistance is needed.

Disable in Outlook 2007

  1. Open Outlook.
  2. On the Tools menu, click Options.
  3. On the Preferences tab, click the Email Options button.
  4. Deselect the Remove extra line breaks in plain text messages check box.
  5. Click OK two times.

Disable in Outlook 2010, 2013, and 2016

  1. Open Outlook.
  2. On the File tab, click Options.
  3. In the Options dialog, click Mail.
  4. In the Message format section, clear the Remove extra line breaks in plain text messages check box.
  5. Click OK.

Disable in Outlook 2019, 2021, and Microsoft 365

  1. Open Outlook.
  2. Click File > Options.
  3. Select Mail.
  4. Under Message format, uncheck Remove extra line breaks in plain text messages.
  5. Click OK.
