Experience Site User cannot view 'Files' migrated from 'Attachments'

You may be asking why Experience Cloud Site license User is not seeing Files after migrating Attachments to Files. This happens because, by default Content is not available with Customer Experience Cloud licenses. For more, please review Experience Cloud User License.

Default sharing for files is set for internal Users only, so if you wanted to have it accessible directly with Experience Cloud Users when your sharing files on user Interface, you must share it as 'All with access.' For more, please read Share object files with Digital Experience Site Users.

To export ContentDocumentLinks using Data Loader  

  1. Open Data Loader.
  2. Click Export then login.
  3. Select Content Document Link (ContentDocumentLink).
  4. Click Next then Finish.


On exported .csv file retain this field columns LINKEDENTITYID, CONTENTDOCUMENTID, SHARETYPE  and Visibility. Save it as new CSV file. Update Field Columns value for  SHARETYPE (should be 'V') and Visibility (should be 'AllUsers').
 

To delete Content Version using the original exported ContentDocumentLinks CSV file 
 

(Use the 'ID' column value and mapped it for deletion.)

  1. Open Data Loader.
  2. Click Delete then login.
  3. Select Content Version(ContentVersion). Mapped ID on the original ContentDocumentLinks .csv.
  4. Click Next then Finish.


Note: We have to delete this to prevent duplicate and getting this error: "Document with ID: 069000000000000 is already linked with the entity with ID: 500000000000000: Linked Entity ID". Proceed on inserting new ContentDocumentlink.CSV file.


To insert a ContentDocumentlink CSV file

  1. Open Data Loader.
  2. Click Insert then login.
  3. Select Content Document Link (ContentDocumentLink). Map available field columns.
  4. Click Next then Finish.
