Salesforce Error 'Too Many Records to Display Details' Within a Matrix report

When a user clicks the Hide Details or Show Details button in a Salesforce Matrix report that contains more than 2,000 records, the button does not function and the following error message appears beneath the report name:

Report Generation Status: There were too many records to display details. Select Export Details for a complete view of your data.

This behavior occurs because Salesforce Matrix reports can display row-level details for a maximum of 2,000 records. When the report exceeds this limit, the Show Details button is unavailable.

Solución

This error occurs because Salesforce Matrix reports can only display details for up to 2,000 records. When the report result set exceeds this limit, the Show Details button is disabled and the error message is displayed.

The following workarounds are available:

Workaround 1: Export Report Details

Use the Export Details option to view the complete set of report data. Exporting the report creates a file that can be opened in Microsoft Excel or another spreadsheet application.

Workaround 2: Add Filters to Reduce Record Count

Add additional filters to reduce the number of records returned by the report to fewer than 2,000. For example, you can filter by date range, record owner, or status. Once the report returns fewer than 2,000 records, the Show Details option becomes available.

Workaround 3: Add Additional Fields (Columns) to the Report

If the Matrix report contains fewer than 2,000 records but details still do not appear, verify the number of fields (columns) displayed in Customize mode.

If the report contains fewer than two columns, add at least one additional field. The first field is displayed beneath the groupings, so an additional field is required to display row-level details alongside the grouped data.
