Mass transfer Activities with Data Loader

An overview of how to transfer multiple Tasks or Events with the Data Loader.

Note: The steps described below can only be performed in Salesforce editions with API Access .

Use Data Loader to mass transfer Activities


1. Export Data including the Activities (Tasks and/or Events) you want to transfer using the criteria of your choice. You can also do this via Export a Report using Activity Reports.

Note: Make sure to export the Task or Event Id as well as OwnerId since these fields will be used to update the records.
 
​2. Update the 'OwnerID' field with the new owner's User Id. For more details see Locate a Salesforce User Id. Once the changes are complete select 'Save As...' to ensure you're creating a new file and keeping the original file for backup.
 
3. Use the 'Update' function in Data Loader and select the activity object (Task or Event), choose the new CSV file and map only the Activity ID and Owner ID fields. 
 

Notes:
 

  • It's recommended to perform a test using a small sample subset of data to make sure you get the desired results before proceeding with the mass transfer.
  • If any record types are available on the Activities, those record types are available or visible to the new owners.
