Unable to select individual Users when you schedule a report in Salesforce

When scheduling a Salesforce report to be emailed to specific users, administrators may find that individual users cannot be selected as recipients. This behavior occurs because Salesforce only allows report schedules to be sent to users who have access to the report folder.

If the report is stored in a folder that restricts access to specific roles, groups, or users, individuals who do not have access to that folder cannot be added as direct recipients in the report schedule. As a result, administrators may need to temporarily modify folder access settings or use an alternative sharing approach to distribute the report.

This article provides several workarounds that can be used to schedule reports for the intended recipients while maintaining appropriate folder security.

In Salesforce Classic or Lightning Experience:

  1. Temporarily change the report folder security
    • Select "This folder is accessible by all users, including portal users" as the folder security setting.
    • Create the report schedule.
    • Change the report folder back to its original security setting.
  2. Temporarily save the report in the Unfiled Public Reports folder
    • Move the report to the Unfiled Public Reports folder.
    • Create the report schedule.
    • Move the report back to its original folder.
  3. Use a Public Group
    • Create a new Public Group containing the users who need to receive the report.
    • Share the report folder with the new Public Group.
    • Select the Public Group as the recipient in the report schedule.
