Filter and Grouping considerations for Custom WITH or WITHOUT Report Types

When you use report filters on a Custom WITH or WITHOUT Report Type, consider the following:
 

Filtering the Primary Object

Filtering the Primary Object will return the records of the Primary Object that meet your filter criteria. These filtered results may or may not have records from the related Child Object.
 

Grouping on the Primary Object

Records on the Primary Object and any related records on the Child Object will be represented within the grouping value on the Primary Object.

 

Filtering the Child Object

Filtering the Child Object in the same report will return all of the following results:

  • Primary Object records with Child Object records that meet the filter criteria.
  • Primary Object records that don't have related Child Object records.
  • Primary Object records with Child Object records that DO NOT meet the filter criteria - in this scenario, data from the Primary Object will be displayed in the report details, but only dashes will be displayed for fields from the Child Object.
Filters on the Child Object are only relevant to Primary Objects with related Child Objects. 



Grouping on the Child Object

Gr​​​​ouping on the Child Object will result in the below:

  • Primary Object records with related Child Object records will appear in the grouping value on the Child Object.
  • Primary Object records that do not have related Child Object records will appear with in a grouping value represented by a dash.
  • Likewise, Primary Object records that have Child Object records that DO NOT meet the filter criteria will return under a dash grouping.

For example: 
  • WITH or WITHOUT Custom Report Type attributes: "Account" is set as the Primary Object and designated that the report may or may not have related Opportunity records.
  • Filter criteria used: Opportunity Stage Equals Closed Won. 
  • Grouping used: Close Date on the Opportunity object.
  • Results returned: All Account records will be displayed. Opportunity record details will also be displayed for "Accounts with Opportunity" records where the Stage is set to "Closed Won". Account records with no related Opportunity records or only Opportunity records where the Stage does not equal Closed Won will display dashes (-) for any Opportunity fields displayed in the report detail. 
  • "Accounts with Opportunity" records where the Stage is set to "Closed Won" will appear under the grouping value for the Close Date on the Opportunity record. Account records with no Opportunities or those that have Opportunities that do not meet the filter criteria will return under a dash grouping value.

This is expected behavior for the filter criteria and groupings selected on the reports based on Custom WITH or WITHOUT Report Types.

To filter on Child Objects, we recommend using the WITH report types in combination with cross filters.
