Learn why Contact and Lead assignment notifications may not be delivered to the new owner

When a Contact or Lead is reassigned in Salesforce, an assignment notification email is automatically sent to the new record owner. However, if your organization's email server blocks any of the IP addresses used by Salesforce to send email, the new owner may not receive these assignment notifications.
Salesforce sends email from several different IP addresses. If your organization blocks any of these IP addresses, users might not receive all email sent from Salesforce. This is a common cause of missing assignment notification emails when Contacts or Leads are reassigned to a new owner.
Example scenario: A Sales Manager reassigns 20 Leads to a new Sales Representative. The Sales Representative reports not receiving any of the assignment notification emails. In this case, the organization's email server is likely blocking one or more Salesforce IP addresses.

Steps to Verify Email Deliverability from Salesforce

Follow these steps to test whether your organization can receive email from every Salesforce IP address:

  1. In Salesforce Classic, navigate to Setup > Email Administration > Test Deliverability. In Lightning Experience, navigate to Setup > Email > Test Deliverability. Review Test the Deliverability of Emails Sent Through Salesforce for more details.
  2. Enter your business email address.
  3. Click Send. Salesforce simultaneously sends a test message from all IP addresses to your business email address. Each test message specifies the IP address from which it was sent.
  4. Check your business email account to confirm that it received all test messages.

Notes and Troubleshooting

  • If you do not receive all test messages, your organization's email administrator must allowlist the Salesforce IP ranges on your organization's email server. Review Ensure you can receive email from the Salesforce Application to learn which IP addresses to allowlist.
