Error 'user@domain.com not authorized to send emails' in 'Email to Salesforce'

Overview

This article explains how to resolve a sender authorization error in the Email to Salesforce feature. The error occurs when a user tries to BCC the Email to Salesforce address or use the Salesforce for Outlook "Add Email" functionality, and their sender email address is not on the authorized list.

Symptom

When BCCing the Email to Salesforce address on a customer communication, some users receive a bounce-back error message similar to the following:

'Your email to Salesforce address (Undelivered): 554 Transaction failed: user@domain.com is not authorized to send emails to this service.'
'------ This is a copy of the original message, including all headers. ------'

This error means the sender's email address is not included in the list of authorized acceptable addresses configured in their Email to Salesforce settings.
The error may also appear as:

  • "(Undelivered): 551 SenderAuthorization"
  • "SenderAuthorization" (without an error number)

How to Resolve Email Send Authorization Failures in Email to Salesforce

This resolution guides you through adding your sender email address to the list of authorized addresses in your Email to Salesforce settings. These steps must be completed by the individual user (not an administrator).

Steps

  1. Navigate to your Email to Salesforce settings:
    1. In Lightning Experience: Click your avatar | Settings | Email | My Email to Salesforce
    2. In Salesforce Classic (with Improved Setup UI): Click [Your Name] | My Settings | Email | My Email to Salesforce
    3. In Salesforce Classic (without Improved Setup UI): Click Setup | My Settings | Email | My Email to Salesforce
  2. Under My Acceptable Email Addresses, add your sender email address. You can add multiple addresses by separating them with a comma (no spaces).
  3. Click Save.

Note: The My Acceptable Email Addresses list is a mandatory setting and cannot be left blank.
