Salesforce Activities: How to Assign Tasks and Events to Other Users and Understand Assignment Restrictions

In Salesforce, both Tasks and Events (collectively referred to as Activities) can be created and assigned to yourself or to other active users in your organization. Tasks can also be assigned to multiple people at once.
This article explains how to assign a new or existing activity to another user, the permissions required to do so, and the known limitations of the activity assignment feature.
Example Scenario: A sales manager needs to delegate a follow-up task to a sales rep. They can do this from the related record's Open Activities section without opening the activity and manually changing the assigned user.

Required Permissions

To view and edit activities in Salesforce, users need Edit access on the Activity object and Read access on the related record (Contact, Lead, or Opportunity). If a user encounters a "NO ACCESS" error when trying to update the Assigned To field, the user does not have access to the User object — this can be resolved by creating Sharing Rules or updating the Organization-Wide Default (OWD) sharing settings for Users.

Assign a New Activity to Another User

  1. Navigate to the record you want to associate the Task or Event with.
  2. In the Open Activities related list, click New Task or New Event.
  3. In the Assigned To field, enter an active user's name.
  4. Complete the remaining fields and save.

Assign an Existing Activity to Another User

  1. Navigate to the existing Task or Event.
  2. Click Edit.
  3. In the Assigned To field, enter an active user's name.
  4. Click Save. The newly assigned user sees the activity on their calendar or task list.

Known Limitations and Behaviors

  • The Assigned To field designates a single owner for the activity.
  • If other attendees are added to an Event, the Assigned To field becomes read-only. This is because the assigned user may not have access to all Contact or Lead records associated with the event invitees.
  • It is not possible to reassign a Task to multiple users or a Group after creation. The option to assign to multiple users or a Group is only available at the time of Task creation.
  • If a user receives a "NO ACCESS" error when trying to update the Assigned To field, the user does not have access to the User object. To resolve this, create Sharing Rules for the User object or update the Organization-Wide Default (OWD) sharing settings for Users.
