Assign Tasks or Events to other Users

Description

In Salesforce, you can assign calendar Events and Tasks to yourself and to other Users. You can also assign Tasks to multiple people, review Create Tasks in Bulk for Multiple People in Salesforce Classic.

Assign a new activity to another User
 

  1. Navigate to the record you want to associate the Task to.
  2. Click New Task or New Event from the 'Open Activities' related list.
  3. Enter an active User in the 'Assigned To' field.



Assign an existing activity to another User
 

  1. Click Edit on the Task or Event.
  2. Enter an active User in the 'Assigned To' field.
  3. After saving, the User to which the activity is assigned will see the new activity on their calendar.

 

Notes

  • The 'Assigned To' User is the only person assigned to the meeting. 
  • The 'Assigned To' User can change that field, but if there are any other attendees, the 'Assigned To' field becomes read-only. ​​​This is because the User assigned to the Event might not have access to other Contacts or Leads that are invites. Therefore, it is a default to turn this field into read-only.
  • It is not possible to reassign a Task to multiple Users or a Group. The option to add multiple Users or a Group is only available upon Task creation.
  • If an end user is hitting a "NO ACCESS" error when attempting to update the 'Assigned To', they do not have access to the User object. Creating Sharing Rules or changing the Org-wide defaults on the User object should resolve this error.
