Salesforce User Offboarding Checklist: Steps to Take When a User Leaves Your Organization

When a Standard User or System Administrator leaves your Salesforce organization, several configurations and ownership assignments may need to be updated to ensure continuity. For example, the departing user may have been set as the Running User for Dashboards, the Default Workflow User, or the owner of key records such as Accounts, Leads, or Cases. This article provides a checklist of areas to review and update.

You can update most of these configurations and permissions, using the table below.

Review all lead assignment rules and auto-response rules to ensure they don't reference the departing user. Update Web-to-Lead settings if the user was configured as the response contact.

Check the Default Workflow User setting in Setup to confirm it isn't assigned to the departing user, as this can cause workflow failures.
