Set a Default Price Book for Users in Salesforce

To effectively set a default Price Book, restrict access so users can only use one Price Book.

Step 1: Update Organization-Wide Defaults

Use this step to restrict general access to Price Books.

1. Go to Setup → Sharing Settings.
2. Click Edit under Organization-Wide Defaults.
3. Set Price Books to:
   • No Access or View Only
4. Click Save.

Step 2: Share Price Books with Specific Users

Use this step to grant access to the desired Price Book.

Note: Price Book sharing must be configured in Salesforce Classic.

1. Switch to Salesforce Classic.
2. Go to the Products tab.
3. Click Manage Price Books.
4. Select the desired Price Book.
5. Click Sharing → Add.
6. Grant Use access to the required users, roles, or groups.

Expected Outcome

• If a user has access to only one Price Book, it becomes their default Price Book.
• When adding products to an Opportunity, this Price Book is automatically selected.

Important Considerations

• Users must have Use access to a Price Book to select it.
• If users have access to multiple Price Books, they can choose between them manually.
• Proper sharing configuration is required to control visibility and access.
