Customize Printable Views for Salesforce Records

Printable View allows you to create printer-friendly versions of record detail pages in Salesforce. This is useful when you need to share record information in meetings or provide hard copies to stakeholders who do not have Salesforce access.

There are several ways to customize the Printable View for record detail pages. Printable View is available in both Salesforce Classic and Lightning Experience.

Available Editions:

Professional, Enterprise, Performance (Unlimited), and Developer

Note:

Printable View is not available for Group Edition organizations. To use Printable View in Lightning Experience, ensure you have added the 'Printable View' action in the 'Mobile and Lightning Experience Actions' section of the object's page layout.

How to Customize:

Printable View can be customized directly in Setup by a System Administrator — no Support involvement is required.

Prerequisites:

Ensure the 'Printable View' action has been added to the relevant object's page layout under Mobile and Lightning Experience Actions before attempting to use Printable View in Lightning Experience. Review the Remove or Replace Salesforce Logo article if you also want to hide the Salesforce logo from printed pages.

Expand or Collapse Sections of Data:

You can control which sections appear in a Printable View by expanding or collapsing them before printing:

  • Sections collapsed prior to clicking Printable View will remain collapsed in the printed view.

  • After clicking Printable View, you can select Expand All or Collapse All to adjust the view.

Note:

Individual fields cannot be removed from a detail page in Printable View.

Steps to Customize Printable View Settings:

  1. Navigate to Setup and open the Object Manager.
  2. Select the object you want to modify the Printable View for.
  3. Select the Search Layout for Salesforce Classic.
  4. Click Edit on the list view.
  5. Uncheck the Printable View checkbox.
  6. Click Save.

Additional Notes:

  • When a user filters a list view by Owner Full Name, they may not be able to view records when clicking Printable List View. As a workaround, select Owner Last Name or Owner First Name instead — this resolves the issue and allows records to be viewed via Printable List View.
  • If a user wants to print a record where the owner is a Queue, the user must either have the View All Data permission or be a member of the queue.
  • Printable View is not available for Group Edition organizations.
