Salesforce Email Attachments Sent as HTML File Links

When sending emails from Salesforce with attachments, the recipient may receive them as .html links.

Note the statement on Email Attachments page (For the steps on how to find the Email Attachment Settings in Salesforce Classic and Lightning Experience, see 'Email attachment' settings) which states:

"Salesforce can send files in email as attachments or links. This setting doesn't apply to mass email or list email."

HTML links in Mass Emails (Classic Only)

  • With the mass email feature, it’s possible to send files as attachments; however it’s important to know that if your email attachments are coming in as .html attachments, it is because you’re using an email template with an attachment.
  • All email templates with attachments come in as .html files.
  • To view the attachment the email recipient simply has to click this link and the file will open in a new browser window on their computer. Recipients then have the choice to save the file locally.

HTML links in List Emails (Lightning Experience only)

  • With the list email feature, it’s possible to send files as attachments; but the email attachments will always be sent as .html files.
  • To view the attachment the email recipient simply has to click this link and the file will open in a new browser window on their computer. Recipients then have the choice to save the file locally.


HTML links in Single Emails

  • If attachments are being sent as HTML links when you send emails through the 'Send an Email' button on a Salesforce Classic UI or 'Email' publisher actions on Lightning Experience UI, it is because of the settings selected under Email Attachments. For the steps on how to find the Email Attachment Settings in Salesforce Classic and Lightning Experience, please refer to 'Email attachment' settings.
  • The email should contain small .html attachments that can be clicked to access the actual documents.  
  • When recipients click the attachment link in the email, the attachment opens or downloads the native attachments in the User's Web browser. 
  • Salesforce stores these attachment files for 30 days. If a recipient tries to view an attachment after the 30 days have expired they’ll be presented with a message telling them that this file is no longer available and that they should contact the person who sent it to them if they would like it re-sent.
