This information will be useful whenever there’s a need to change a Salesforce admin, create a new system administrator user (for the new administrator to use), or deactivate or freeze the previous system administrator's login (if they're no longer with your company).
As a best practice, maintain at least two active System Administrators at all times. This helps ensure continuity of access and minimizes potential service disruptions if one administrator is unavailable, unable to log in, or leaves the company.
Watch this video to see how to add a new System Administrator user in Salesforce Classic and Lightning Experience, including how to set the User License to Salesforce and assign the System Administrator profile.
Note: If there are no available User licenses, the administrator must temporarily disable a user using the steps in our Deactivate (Delete) Users documentation. After the new administrator has been created, deactivate or freeze the previous system administrator's user record and reactivate the record that was temporarily deactivated.
1. Go to:
Salesforce Classic: Setup | Manage Users | Users
Lightning Experience: Setup | Users | Users
2. Click New User then enter your new User details.
3. In the 'User License' field, select Salesforce
4. In the 'Profile' field, select System Administrator.
5. Select Generate new password and notify user immediately.
6. Click Save.
7. Log out of Salesforce (select your name | Logout)
8. Follow the steps in the email sent to the email address entered for your new admin User. Make sure to click Verify.
9. Log in to Salesforce as the new system administrator.
If you need further guidance on the above steps, review Add a Single User. Note: remember to set the Profile field to System Administrator.
After the new System Administrator has been created and logged in with the new credentials, deactivate or freeze the previous System Administrator's user record using the steps in our Deactivate (Delete) Users documentation.
If receiving an error when deactivating the previous system administrator, review the information on Cannot Deactivate a User Due to System Dependencies.
Note: If you can't access the profile for your only system administrator, use the steps in our Unable to change your Salesforce System Administrator article.
