Increase Archive Days Limit for Activities (Tasks and Events)

Description

To improve the speed and performance of Activity reports, Salesforce automatically archives older Activities (Tasks and Events) to reduce the number of records being searched in Activity reporting and SOQL queries. Archiving impacts Reports, List Views, and the Calendar View.

You can view and interact with archived activities in exported data and other locations in Salesforce. For more on exporting or deleting archived activities, review Export or delete archived activities through API. To understand more about how activities are archived, review View Archived Activities.

If your organization requires a longer archive period for Activities, a System Administrator can submit a limit increase request with Salesforce Support using the steps below.

Limit Details

Default Limit: 365 days

Maximum Limit:  3,650 days (10 years). Any requests above 10 years need to be reviewed by Support with a strong business reason. There is no guarantee of approval for requests that large.

Recommended Maximum:
1,826 days (5 years + 1 leap day)

Prerequisites:

Review the important considerations in the Resolution section below before submitting a limit increase request, as increasing this limit can impact Activity report and list view performance.

Resolution

Before You Request an Archive Days Increase

  • Limit increases will affect activity reporting and list view performance and may potentially cause them to time out as more records become available, especially if they are not correctly scoped by date ranges (for example, 'Created Date' equals 'This Year').
  • A limit increase does not impact API queries. Review the SOAP API Developer Guide for Archived Activities.
  • The regular activity archival process is scheduled to run every Sunday starting at 5AM local time. As such, it is possible to report on activities up to 6–7 days past the Archive Days threshold. Any activities that exceed the Archive Days threshold will be queued up to be archived the following Sunday.

Any requests above 10 years need to be reviewed by Support with a strong business reason. There is no guarantee of approval for requests that large.

To increase the Archive Days limit beyond 365 days, you'll need assistance from Salesforce Support.

Requesting a Limit Increase:

If you've reviewed all relevant documentation and still need assistance with increasing this limit, please have a System Administrator create a limit increase request with Support.

When submitting the request, please provide the following information:

  1. Increasing this limit will impact the performance of your Activity reports and list views if they are not correctly scoped by date ranges (for example, 'Created Date' equals 'This Year'). Activity reports and list views may time out once the limit is increased depending on the number of Activity records in your organization. Do you accept the potential risks to the performance of these areas?
  2. What would you like to increase your organization's limit to?
  3. Requested Duration — will the increase be permanent or just for a certain period?

Post Limit Increase Steps:

Once the limit increase is implemented, please note the following:

  • After the increased limit is implemented, records will gradually become available. Depending on the number of records to be unarchived, the process may take a few hours.
  • You can also request to reduce this value if needed. The reduction of this value and the process of normal archiving will begin as soon as the limit is implemented. Depending on the number of records to be archived, the process may take a few hours.
  • If users are unable to view some Task or Event records after the Archive Days limit is adjusted, they may be viewing a newly-archived record. Review Error 'Looks like there's a problem' when opening Activity in Lightning for additional information.
  • Open tasks will not be archived even if they were created more than 365 days ago. For more information, review Working with Archived Activities.
