'Send Email and Verify Merge Fields' Button on Salesforce Email Templates

After you’ve created an Email Template, you can verify the merge fields by sending a test email to a test email address, validating how the actual email looks.

 
Notes: 
  • The Classic Email Templates you create can be used in both Salesforce Classic and Lightning Experience.
  • In Lightning, users can write an email and create templates directly from records. When sending an email directly from a record in Lightning, 'Send Test and Verify Merge Fields' is unavailable, but you can preview the email by clicking the eye icon (located below the enter email text area).
  • In Lightning, if you’re creating a template from 'Email Template' object, there’s no option to preview those emails and also the 'Send Test and Verify Merge Fields' is unavailable.
  • Lightning Email Action is only in Lightning Experience.
  • Lightning List Email Action is only in Lightning Experience.
  • There are approval merge fields that are only visible upon approving a record (For example, {ApprovalRequest.Comments}), so it isn’t advisable to "Send Test Email and Verify Merge Fields" button when testing Approval Email Templates. It’s best to approve a sample record so it triggers the email alert and email template.

Test your merge fields with the button 'Send Test and Verify Merge Field'


Go to your email template that you would like to test and click 'Send Test and Verify Merge Field.' You see the following options on a window, "Preview the template with the following records:"

 
  1. Recipient Record: You can select a Contact, Lead, or User and the template retrieves Merge Fields such as: {Contact.FirstNameLocal}. No email will be sent to the Contact, Lead, or User you choose in this box.
  2. Related to Record: If your email template uses information from objects such as Accounts or Opportunities, you can select any record in those objects and the template retrieves the merge fields from the record and populates the template with that information.
  3. A check box for Send email preview to: By selecting this option and typing the correct email address, an email is generated. This option is the only one that generates a test email, and it will be sent to the specified email address only, not to the Recipient Record email address. You can also do this test several times with different email recipients to see how the template looks in different email clients, such as Outlook, Yahoo, and so on.
 
Note: The 'Send Test and Verify Merge Field' option is available in Salesforce Classic UI and also in Lightning UI, but only when you are in the Setup | Classic Email Templates.
