Email Alert Recipients List Still Shows Inactive Users in Salesforce

In Salesforce, when a User who was added to an Email Alert recipient list is later deactivated, their name continues to appear in the email alert's recipient display. This is a known display behavior — the deactivated user does not actually receive the email alert, but the UI does not automatically refresh to remove their name from the display.

Email alerts can be configured to send to different recipient types. When the recipient list includes individual Users, those Users must be active in Salesforce to receive emails. Users with a Chatter Free License will not be displayed in the Email Alert recipient list even when active.

If you recently deactivated a User that was on the recipient list, their name still appears in the list view. However, when you click Edit on the email alert, the deactivated User's name does not appear in the Selected Recipients list.

Résolution
Salesforce does not automatically remove inactive Users from the email alert recipient display. To refresh the list and remove inactive Users, open the email alert in Edit mode and click Save — no content changes are required. This triggers a refresh of the recipient list to display only active Users.

Steps to Remove Inactive Users from an Email Alert

  1. Navigate to Setup.
    1. In Salesforce Classic: Click Setup.
    2. In Lightning Experience: Click the Gear icon > Setup.
  2. Enter Email Alert in the Quick Find box and click on it.
  3. Select the affected Email Alert.
  4. Click the Edit button. At this point, only active Users appear in the Selected Recipients list.
  5. Click Save.
Upon saving, the email alert refreshes and accurately displays only active recipients.
