In Salesforce Approval Processes, when the option "The approver's delegate may also approve this request" is enabled, delegated approvers cannot view pending approval records in the Items to Approve list on the Home page. This is expected Salesforce behavior.
Although delegated approvers can approve requests, only users directly assigned as approvers can see records in the Items to Approve list. The workarounds below allow delegated approvers to identify and act on pending approval records.
The following workarounds resolve the issue where delegated approvers in Salesforce cannot view records in the Items to Approve list. Records assigned to delegated approvers are not displayed in the Home page component, even when the approval process allows delegated approval.
Navigate to the delegated approver's User Detail page.
Click Edit.
Change the Receive Approval Request Emails picklist value to If I am an approver or delegated approver.
Save the changes.
This allows the delegated approver to receive email notifications whenever a record enters an approval process for which they are designated as the delegated approver.
Create a custom checkbox field on the object used in the approval process and make it read-only for users.
Create a Field Update action on the Initial Submission step of the approval process to select the checkbox whenever a record enters the approval process.
Create another Field Update action for Final Approval, Final Rejection, and Recall actions to clear the checkbox when the record exits the approval process.
Create a List View on the object (for example, Contracts) with criteria where the checkbox field equals True.
Share the list view with the delegated approver as needed.
The delegated approver can use this list view to identify records that are currently pending approval.
