Create email integration publisher actions

This article explains how to create and configure publisher actions for the Salesforce for Outlook Side Panel, enabling users to create Account, Case, Contact, Lead, Opportunity, or custom object records directly from within Outlook. Your Salesforce edition determines which Side Panel features your users can access and how you set up users to use the Side Panel Publisher.
Before starting, verify the following:
  • You have set up a "Create a Record" global action for each publisher action you want to appear in your users' Side Panel publisher menus.
  • You have added the publisher actions to the appropriate publisher layout.
  • For Group, Contact Manager, or Professional Editions, you add publisher actions to the global publisher layout. The Side Panel publisher only displays actions with the action type "Create a Record."
  • For Enterprise, Performance, Unlimited, or Developer Editions, you use the Side Panel publisher layout editor. You can create multiple Side Panel publisher layouts to give different users access to different publisher menus.

Create Publisher Actions — Salesforce Classic

Available in: All Editions Required Permission: Customize Application To display the Salesforce Side Panel in Outlook: Side Panel must be enabled in Outlook Configurations

  1. Click Setup > Create > Global Actions > Global Actions.
  2. Click New Action.
  3. Select the action type Create a Record.
  4. Select the Target Object (the object you want users to create from the Side Panel).
  5. If the Case object has Record Types, a Record Type field appears. Select a record type other than Master.
  6. Enter a label for the action, such as "Outlook Person Account Creator."
  7. Click Save.
  8. Click the layout and drag the fields you want to show or hide on the page.
  9. Save the layout.

Create Publisher Actions — Lightning Experience

  1. Click the gear icon > Setup > User Interface > Global Actions > Global Actions.
  2. Click New Action.
  3. Select the action type Create a Record.
  4. Select the Target Object.
  5. If the Case object has Record Types, select a record type other than Master.
  6. Enter a label for the action.
  7. Click Save.
  8. Click the layout and drag fields to configure the page.
  9. Save the layout.

Customize Side Panel Publisher Layouts for Different Users

Available in: Enterprise, Performance, Unlimited, and Developer Editions Required Permission: View Setup
Different Salesforce editions allow you to create multiple publisher layouts so users with different job responsibilities can access different publisher action sets. For example, sales representatives may only need to create Contacts and Opportunities, while sales managers need to create Contacts, Opportunities, Cases, and Leads.
For Salesforce for Outlook:

  1. Go to Outlook Configurations.
    1. Salesforce Classic: Setup > Desktop Administration > Outlook Configurations
    2. Lightning Experience: Gear icon > Setup > Email > Outlook Configurations
  2. From the Email Application Publisher Layouts related list, click New. Give your new layout a name and click Save.
  3. From the Outlook Configurations page, click Edit beside the new layout.
  4. From the Email Application Publisher Layout Editor, drag the "Create a Record" quick actions you want into the Publisher Actions section.
  5. Assign the publisher layout to the appropriate User profiles to give users access:
    1. For Group, Contact Manager, or Professional Editions: assign the global publisher layout.
    2. For Enterprise, Performance, Unlimited, or Developer Editions: assign the Side Panel publisher layout.
  6. Click Save.
