Exchanged Cache Mode enables a better experience when you use an Exchange account. In this mode, a copy of your mailbox is saved on your computer. This copy provides quick access to your data, and it is frequently updated with the server that runs Microsoft Exchange.
If you are unable to turn on Cached Exchange Mode, one or more of the following might apply:
An Exchange account doesn't exist in your Microsoft Outlook profile This feature requires that your Outlook profile contain an Exchange account.
Your Exchange server administrator has disabled this functionality Exchange administrators can disable this feature in Outlook. For more information, contact your Exchange administrator.
Microsoft Terminal Services is installed Cached Exchange Mode is not available on computers that run Windows Server when Microsoft Terminal Services is installed.
Use Cached Exchange Mode to work with items in your Microsoft Exchange Server mailbox even when your network connection is slow or unavailable. Since you have a copy of your mailbox on your hard drive saved as a .ost file, you can access your downloaded mailbox data even if you are offline and have no internet connection. Once you go online Outlook will sync up with your mail server
Is Exchange Cached mode enabled?
You can verify this by looking at the bottom right corner of your Outlook window. It should say Connected to Microsoft Exchange (this means your Outlook is running in the Exchange Cache Mode) and there is a data file on your computer. The data file has an extension of .OST and by default it is located in
%LOCALAppData%\Microsoft\Outlook\
If it says 'Online with Microsoft Exchange' it means it is connected to the Exchange directly and there is no data file locally saved on the computer. Outlook needs to be connect to the Exchange all the time to be able to access user data. SFO connection will be slower and sync may take longer or get timed out if data file is too big and Outlook is not running in the Cached mode
Use this Microsoft help article to Turn on Exchange Cache Mode settings.
*If you are using Salesforce For Outlook, make sure to exit this app from the System tray to stop the sync process until the Outlook data file is completely downloaded into the machine. You would see the "All Folders are up to date" at the bottom center of the Outlook screen.
