How to Allow Users to Post to Salesforce Chatter Groups via Email (Email to Chatter)

Feature Overview

Salesforce Chatter supports a feature called Email to Chatter, which allows users to post to Chatter groups by sending an email from the email address associated with their Salesforce account. This enables users to contribute to Chatter group conversations without logging into Salesforce directly.
Key characteristics of this feature:

  • Email to Chatter is now generally available (GA).
  • Users can post to groups by sending emails from the email address associated with their Salesforce account.
  • By default, this feature is turned off for all organizations and must be enabled by an administrator.

To enable the Email to Chatter feature, an administrator must turn on the "Allow Emails" setting in Chatter Email Settings. Once enabled, a unique email address is automatically generated for each Chatter group in the org, which users can email to create posts.

Enable 'Allow Posts via Email' on Chatter

  1. Navigate to Setup.
  2. In the Quick Find box, enter Email Settings.
  3. Click Email Settings in the results.
  4. Select Allow Emails to allow users to post to groups using email.
  5. Click Save.
After activation, a Post by Email link appears in the left navigation panel of all Chatter groups. This link contains an automatically generated email service address that is unique for every Chatter group in the org. Users can send email messages to this address to create Chatter posts. Users can also reply to Chatter email notifications to add a new comment to an existing Chatter thread. Email notifications include a "reply to this post" reminder at the bottom.

Security Requirements for Incoming Email Authentication

For security, Salesforce uses enhanced mail authentication to verify all incoming emails for this feature. The following rules apply:
  • The sender's email address must match exactly one user email address within the Chatter group. If two Chatter group members share the same email address, inbound Chatter email posts from that address are blocked.
  • The feature only allows emails that can verify the sender via at least one of the following protocols:
    • Sender Policy Framework (SPF) — the most widely used email authentication standard
    • SenderID
    • DomainKeys
  • The email must pass at least one of the above protocols and must not fail any.
To check if your domain uses SPF, run the following command from a terminal:
nslookup -q=txt example.com or dig example.com txt
You can also use online tools such as MXToolbox to verify your domain's SPF record.
