How to Monitor Data and File Storage Usage in Salesforce

Salesforce provides a built-in Storage Usage page in Setup that allows administrators to monitor both Data Storage and File Storage consumption in their organization. The page shows total storage limits, current usage, and a breakdown by component type (e.g., Content Bodies, Knowledge, Documents, Attachments). Note: There is no standard functionality to track historical storage usage over time.


The first table on this page provides your current storage limit, the current storage used, and the percentage of your storage limit has been used.

The remaining Storage Usage tables show a breakdown of the components that make up that storage category, and the percentage of storage that they use.
 


Please consider promoting the Idea Generating Storage Usage Report to potentially have this feature added to Salesforce with a future release.

How to Access Storage Usage in Setup

To view current data and file storage in your organization:

 
  1. Navigate to Setup and enter storage into the Quick Find box.
  2. Click Storage Usage.

Understanding the Storage Breakdown.

For example, if your organization has a File Storage limit of 10.4 GB, and has used 720 MB of that storage, the total percentage used is 7%.

If you review the Current File Storage Usage table, it will show the components that are using File Storage, and the percentage of the 7% is being used by that component. If the breakdown is: 


Content Bodies - 90%
Knowledge - 5%
Documents - 3%
Attachments - 2%

This means that 90% of the 720 MB used is made up of Content records.

Note: The Storage Usage tables that breakdown usage will typically add up to 100%. At times, you may notice that it's actually 99% or 101%. This is due to rounding of decimal places since the Storage Usage page rounds to one decimal place.
