Send an email to record owner's manager with an 'approval process'

You can dynamically choose the email of the record owner's manager to send an email alert. Below is the example of Approval Process for an opportunity record.

Use an Approval Process to send an email to record owner's manager in Salesforce Classic

1. Create an Email field on the opportunity called 'Manager Email.'

a) Click Setup | Customize |  Opportunity | Fields.
b) Click New under 'Opportunity Custom Fields and Relationships.'
c) Select Email as the 'Data Type.'

2. After creating the custom Email field, Go to Setup | Create | Workflow & Approval | Approval Process. Then click the name of the Approval Process you would like to update.

a) Go to 'Initial Submission Actions'​ section.
b) Click Add New | Field Update.
c) Enter the Name.
d) Select Field to Update: Manager Email.
e) In 'Specify New Field Value' section, select Use a formula to set the new value.
f)  Click Insert Field.
g) Select Opportunity | Owner | Manager | Email.
h) Click the Insert button.
i)  You should notice the Formula Value 'Owner.Manager.Email'   
j)  Click Save.

 

Use an Approval Process to send email to record owner' manager in Lightning Experience

1. Create an email field on the Opportunity called 'Manager Email.'
 

a. Click the gear icon. Choose Setup.
b. Click the Object Manager Tab.
c. Choose Opportunity Object. On the left side pane, click Fields and Relationship.
d. Click the New button and then select Email as the 'Data Type.'

 

2. After creating the custom email field, Click the gear icon. Choose Setup | Process Automation | Approval Processes. Click the name of the Approval Process you would like to update.

 
a. Go to 'Initial Submission Actions'​ section.
b. Click Add New | Field Update.
c. Enter the Name.
d. Select Field to Update: Manager Email.
e. In 'Specify New Field Value' section, select Use a formula to set the new value.
f. Click Show Formula Editor and then click Insert Field.
g. Select Opportunity | Opportunity Owner | Manager | Email
h. Click the Insert button.
i. You should notice the Formula Value 'Owner.Manager.Email'  
j. Click Save.

 


While sending an email alert:


1. Select Recipient Type. Then Search Email Field.
2. In the 'Available Recipients' list box, select Email Field:Manager Email.
3. Click the Add button.
