Change the Email Address of a Salesforce User

Requirement: Email addresses can only be updated for Users that are listed as 'Active' on the User detail page.  Vote and comment on the Salesforce Idea Exchange to have this functionality changed for inactive users. 

Whether it's a Salesforce User or the organization’s administrator, change the email address in the details on User records to update the contact information.

Update your own email address

  1. Access your personal settings:
  1. Enter your new email address using the steps in Update Personal Information.

 

Update the email address for another User (administrators only)

  1. Access the User you want to update using the steps in Edit Users.
  2. Replace the value in the "Email" field with the new email address.
  3. Choose how to notify the User at the bottom of the User record:

  • By not selecting the Generate new password and notify user immediately, a verification email is received at the new email and a notification email is sent to the old email informing them of the change.
  • Selecting the Generate new password and notify user immediately checkbox does not skip the email change verification - A verification email is received at the new email and a notification email is sent to the old email informing them of the change. It also prompts a password change after the verification link has been clicked.
  1. Click Save.


To complete the email update, the User must click the verification link sent to their new email and complete the resulting verification steps within 72 hours.

 

User Verification

When resetting their password to confirm email changes, users are required to verify their identity if they’ve accessed Salesforce before but they’re logging in from a new browser. 
 
Users verify their identity using a registered verification method, such as Salesforce Authenticator, SMS, or email. If email is the only verification method available, the verification code is sent to the user’s previously registered email address.
 

Sandbox Org Users

Since Sandbox org users have “.invalid” appended to user's email addresses, they are unable to receive verification code emails. If they have no other verification method, they can’t complete the password reset and activate their new email addresses. 

To resolve this issue, use these options:

 

Notes:

  • This email verification process only happens when changing the email address on the User record to an email other than the User's email address. It does not apply when changing the Return Address within that User's personal email settings.
  • A single email address can be used for multiple Users (applies to all organizations).


 

Bulk update multiple User email addresses (administrators only)

To change User email addresses in bulk, use an API tool like Data Loader or Workbench.

After the bulk change, notification emails will be sent to each original email address and verification emails will be sent to each new email address to authorize and apply each update.
