Outlook Integration 'Log Email on Send' creates a Task not an Email Message

When Enhanced Email is activated, the Outlook Integration email association creates Email Message records in Salesforce. However, the "Log Email on Send" action may log emails as Task records instead of Email Message records. This occurs due to one of two causes:

  • The Salesforce org has enabled the "Don't allow HTML uploads as attachments or document records" permission under File Upload and Download Security settings.
  • The email was sent from Outlook 2016 or 2013 using legacy registry settings from Outlook 2007 or 2010 that control linked images on the local machine. When Salesforce cannot access the linked image "clients/mailapp/t.gif" in the sent email, the Enhanced Email Message flow is limited and a Task is created instead.

This issue has two possible root causes, each with its own resolution path. Identify which cause applies to your environment and follow the corresponding steps below.

Resolution 1: Disable the HTML Upload Restriction

If your org has "Don't allow HTML uploads as attachments or document records" enabled, follow these steps:

  1. Log in to Salesforce as a System Administrator (Classic or Lightning Experience).
  2. Navigate to Setup > File Upload and Download Security.
  3. Click Edit and uncheck the "Don't allow HTML uploads as attachments or document records" option.
  4. Click Save.
  5. Restart Outlook and test Log Email on Send again.

Resolution 2: Update the Registry Setting for Linked Images

If the issue persists after Resolution 1, or if the org does not have the HTML restriction enabled, use the Registry Editor to update the "Send Pictures With Document" registry key.

Note: Use caution when editing the Windows registry. Errors can affect your computer or programs. Always back up your registry before making any changes.
  1. As a local machine administrator, press Win + R, type REGEDIT, and press Enter to open the Registry Editor.
  2. Navigate to: HKEY_CURRENT_USER\Software\Microsoft\Office\X\Outlook\Options\Mail — where X is your Outlook version (16.0 for Outlook 2016, or 13.0 for Outlook 2013).
  3. In the right pane, double-click the value Send Pictures With Document.
  4. Change the Value Data from 1 to 0 and click OK.
  5. Close the Registry Editor.
  6. Restart Outlook and test Log Email on Send again.

Note: Changing this registry value does not affect images added directly to emails or images included in signatures created with the Outlook Signature Editor. If signature images are created outside the Signature Editor, ensure they are linked from an accessible web server.
