What are Granular Permissions (Quip)

Quip supports Granular Permissions, which let you assign different levels of access — Full Access, Can Edit, Can Comment, or Can View — to individuals and folders on any document, spreadsheet, presentation, or chat thread. This article explains each permission level and how to assign it.

Understand the Sharing Experience

Quip's sharing experience lets you add content to folders and share with individuals, all within the same share dialog. Previously, the folder sharing model supported only one access level: all users shared on a thread (doc, spreadsheet, presentation, chat) had the same permissions — they could read, edit, modify sharing, and delete the document. Link sharing introduced more complex permissions, but only for access via the link, not for users, folders, or groups shared directly in-product.

Granular Permission Levels

Granular Permissions create four levels of access that a user or a folder can have on a document. Users with Full Access to a thread can toggle the access level for any participant. In order of greatest to least access:

  • Full Access: Corresponds to the existing omnipotent level of access that normal thread members have. All current full thread members default to Full Access. Permission to: share document (the ONLY access level that grants the ability to share a document), edit document, modify sharing (edit link sharing; add/remove thread members and edit access levels; add/remove folders and edit access levels), delete document, and toggle document-level settings (e.g. Lock Edits).
  • Can Edit: Permission to edit document, view sharing link, and view collaborators.
  • Can Comment: Equivalent to View Only link sharing, with permission to show conversation, show edit history, allow new messages, allow comments, allow requests to edit, and view sharing link.
  • Can View: Equivalent to the default for View Only link sharing, with permission to allow requests to edit and view sharing link.

Assign a Permission Level

  1. From any thread (doc, spreadsheet, presentation, chat), click the blue "Share" button.
  2. Click the "Full Access" drop-down menu to select the appropriate access level.
  3. Add both folders and individuals.
  4. Change an individual's or folder's access level at any time, or remove access altogether.

No, you must be a member of the site to see the sharing dialog.

What happens if a user gains access to a thread in more than one way, each granting a different access level?

There are three ways to gain access to a thread: direct share via the sharing dialog, link sharing, or a shared folder. The access level shared via the sharing dialog always takes precedence, ignoring higher access granted by other sources. For example, if a user has Comment access via the sharing dialog and View + Edit access via a link, the user retains Comment access.

 

What access level is granted to a user who gains access via a shared link?

The user auto-joins the thread at the highest possible level. Auto-joining is only supported at the Edit and Full Access levels; for lower levels of access, the user remains a guest. A View Only link share prohibits auto-joining. A View & Edit link share grants Full Access, consistent with the maximum level a user could reach via the Join button.

 

What happens if a Full Access owner tries to remove permissions for a user who gained access via multiple sources?

A user with Full Access can remove another user's individual thread-level permissions, but cannot remove access gained through other sources. When attempting to remove someone from a thread, the Full Access user is shown a warning that the person will still have access via other means.

 

How do I know if I have View Only access to a document?

Hovering over the Share button shows "You have VIEW ONLY access." Clicking Share shows a message that you don't have access to share the document.

 

Can I change my own level of access?

Yes — this works the same as adjusting others' access. Go to Share and adjust your own access. You can only lower your own access; if you change yourself to View Only, you won't be able to later restore your own Full Access.
