Update the Auto Assignment Fields in Salesforce Maps

Auto Assignment uses the Salesforce Maps Assignment Rule field to automatically assign your records. If this field already has a valid territory, the Auto Assignment process will skip it (there's no need to auto-assign records over and over again to the same user). However, you may need to force Salesforce Maps to assign records again. For example, suppose one of your reps leaves her job, her records will probably need to be reassigned to another rep.

You can use Mass Actions to ensure Salesforce Maps automatically assigns the records to a new user.

Creating a New Assignment Rule

Prior to working through this guide, you probably need to create a new Assignment Rule. If Mary leaves her job and John is a new hire, you will need to create an Assignment Rule for John and connect it to Mary's old territory. But what if Mary and John are just splitting a territory? In that case, you need to create a new territory (Shape Layer) and Assignment Rule for both Mary and John. Refer to the Auto Assignment guide to create the Assignment Rules and Shape Layers.
 

Updating the Auto Assignment Fields

Once you've created your Assignment Rule and Shape Layers, you need to select the records you want to reassign. Suppose we need to transfer all records from one user to another.

  1. Plot a Marker Layer filtered by the old owner's ID. If we're transferring ownership of Mary's records to John, we could set a field filter on the Marker Layer to plot only those records that belong to Mary. If you just need to transfer some of Mary's records to John, you could also use Field Filters to select a subset of Mary's records (perhaps those within a certain Billing Zip Code).
  2. You should now see all of Mary's records plotted. Now, select all of the records using either a polygon, circle, or square selection.
  3. Right-click the shape to open the Mass Actions menu. Select Update Field.
  4. For the Query, select the Marker Layer you plotted. For the field, select Salesforce Maps Assignment Rule. Ensure the Value is blank. Select Save & Close.
 

At this point, you have disassociated Mary's old Assignment Rule from her. The Auto Assignment process has not yet run, therefore Mary's records will not be transferred to John instantly. To complete the transfer, you can either allow the Auto Assignment batch to run on its own (every four hours) or you can force it to assign the records by selecting Run in the Auto Assignment settings.
