Exclude Specific Records from Schedule in Salesforce Maps

Admins have the ability to exclude specific Event records from being displayed and optimized in Schedule, for any user, for any record. "Exclude Record from Schedule Field" setting is available for any Standard or Custom Event Object Configuration. This setting will allow you to map any editable Standard Event or Custom Activity field where the field type is Checkbox. The value of the Checkbox field is determined and produced by your Salesforce Administrator (ex: Process Builder), as Maps will only read the value of the field (meaning we do not manipulate the Checkbox field value).

  • If the Checkbox value equals True, Salesforce Maps will not show or optimize that specific record in Schedule.
  • If the Checkbox value equals False, Salesforce Maps will continue to show and optimize that specific record in Schedule.

Steps

  1. First, check with your Salesforce Administrator to determine if an editable Standard Event or Custom Activity field (Checkbox) will be used for this configuration. We suggest creating a new Custom Activity field to prevent any issues with Standard Activity fields already in use. Please see this article for more information on creating a new Custom Activity field. Additionally, work with your Salesforce Administrator to determine the criteria for the True/False value of the field, and how to automate that value (ex: Process Builder : input a True/False value dependent on the Role of the record Owner ID).
  2. In Salesforce, navigate to Setup | Installed Packages | Configure for the Salesforce Maps Package.
  3. Select the Routes & Schedule tab.
  4. Select a Standard or Custom Event Object Configuration.
  5. Click on the setting "Exclude Record from Schedule Field", select a field and click Save.
