Configure Auto Assignment with Multiple User Lookups in Salesforce Maps

The Maps Auto Assignment feature can be configured to work with multiple user lookups. For example, suppose you have two types of managers, a Sales Manager, and a Service Manager. In this example, the Sales Manager might sell to an Account whereas the Service Manager follows up to service the account afterward. These two may even have different territories that need to be factored into the Assignment Process. This guide runs through that setup.

Object Configuration

First, we assume your Account object has two User lookup fields.
  • Sales Manager
  • Service Manager
For more information on adding user lookup fields, refer to Salesforce's documentation:


Create a Lookup relationship from the Account object to the Maps Assignment Rule object. This field should be named according to what it will assign. For example, if this Assignment Rule will be used to assign the Sales Manager, you would create a lookup from the Account object to the Maps Assignment Rule object.

  1. Navigate to Setup | Account | Fields.
  2. Select New under Account Custom Fields & Relationships.
  3. Select a Lookup Relationship. The Lookup Relationship should point to the Maps Assignment Rule.
  4. For the field label, enter something specific to what you're assigning. Since this example is assigning the Sales Manager field, you should enter something like "Maps Assignment Rule Sales Manager". For the child name, you need to add an underscore and describe the relationship, something like "Accounts_SalesManager". You can keep the default profile visibility.
  5. At this point, you will want to repeat this process for the other user lookup, the Service Manager. In short, you should create a Lookup relationship on the Account that looks up to the Maps Assignment Rule. Ensure you name the field appropriately for the Service Manager.


Assignment Plan Configuration


You can now create the Assignment Plan.
  1. Navigate to Setup | Installed Packages | Configure for the Salesforce Maps Package.
  2. Select the Auto Assignment tab.
  3. Create an Assignment Plan and name it appropriately. This plan should point to the Account Object. Note that the object dropdown may show 3 different Accounts, all of which have names of the lookup fields in the parenthesis. Choose the Account(Maps Assignment Rule Sales Manager) under the object dropdown.
  4. Ensure the Latitude and Longitude point to the correct fields. Lastly, ensure you change the Assignment field to the User Lookup. Once you've configured the plan, select Save.
Repeat these steps for the Service Manager Assignment Plan.


Assignment Rule Configuration

 
Now, you can configure your Assignment Rules through the usual process.
  1. Navigate to Setup | Installed Packages | Configure for the Salesforce Maps package.
  2. Navigate to the Auto Assignment Tab.
  3. You should see the two plans you created, one for the Sales Manager and one for the Service Manager. Go ahead and select Assignment Plan for Sales Manager. Scroll down to the Assignment Rules section and click Add Rule. You might name a rule something like "Bill the Sales Manager Gets MidWest Territory" (where MidWest Territory is some sort of territory you've created via the Salesforce Maps Shape Layer Builder.) For the user, you can select Bill (or whichever user will be managing that territory). When you're ready, select Save
  4. You can configure multiple Assignment Rules for the Sales Manager. Bill might get the MidWest, Sally might get the South East, and so on.
You can then repeat these steps for the Service Manager. Note that the territories for the Service Manager Rules can be different.


Conclusion

When you run the Assignment Plans, the Account Sales Manager and Service Manager fields will be assigned differently. How they get assigned will depend on the Rules and Territories you've assigned for each plan. Note that this example only covered two personas, a Sales Manager and a Service Manager. However, you could just as easily extend this guide to more personas or even to custom objects. You would follow the steps to create an Assignment Plan for the third persona (perhaps a Support Manager or something similar).
 
As the last step, you should also configure your Page Layouts for the Account object in order to show the fields and assignment rules in an easily digestible way.
